This policy explains how Gate Ready: SWMS for Tradies (the app) and this website handle information. The app is published by Vision and Beyond Pty Ltd (we, us), an Australian company based in New South Wales.
The short version
- There's no account to create.
- Your SWMS drafts, signatures and business records are stored on your phone. We don't run cloud storage for them and we can't see them.
- The app has no analytics, advertising or tracking tools, and this website doesn't add cookies.
- When you send, share or export a SWMS, it goes where you send it.
- The app checks the App Store or Google Play for updates and for your subscription status.
What the app keeps on your phone
To work, the app keeps the following on your phone:
- your SWMS drafts, job details and revisions
- your business details and trade
- crew and subcontractor details you enter, such as names and contact details
- licences and tickets, and insurance certificate of currency details (numbers and expiry dates only, no files)
- worker signatures collected on your phone, until you confirm you've exported them
- your settings, including your reminder preferences
- a marker that your free SWMS has been used. On iPhone this marker is kept in the iOS Keychain, which can stay on the phone after you delete the app.
This information stays on your phone and isn't sent to us. If you enter other people's details, such as crew or subcontractors, make sure you're allowed to.
Signed copies
The app doesn't keep signed SWMS copies for you. Once you confirm you've saved or sent the exported PDF, Gate Ready clears the signatures from your phone. Your exported copy is the record, so keep it.
Backups
Gate Ready doesn't back up your data itself. If you have your phone's own backup switched on (iCloud Backup on iPhone, Auto Backup on Android), it may include Gate Ready's working data such as drafts, job details and settings. Those backups are held by Apple or Google under their own privacy policies, and we can't access them.
What leaves your phone, and when
When you send, share or export
Information leaves your phone when you choose to send or share it, for example by text, email or your phone's share sheet. An exported SWMS PDF includes the job details, the names of your crew and any signatures collected. The apps and services you choose to send it through have their own privacy policies.
Transfer files
If you export a transfer file to move to a new phone, it contains your drafts, job details, business details and settings. It doesn't include signatures you haven't exported. It isn't password-protected, so keep it somewhere safe and delete it once you've imported it.
Update checks
When you open the app, it asks the App Store or Google Play whether a newer version is available. That request goes to Apple or Google, not to us, and is covered by their privacy policies. If there's no signal the app carries on without it.
Subscription checks
The app asks the store whether your subscription is active. This also goes to Apple or Google. If there's no signal, the app uses the last confirmed status for a short time.
Reminders
Reminders for expiring licences and insurance, unexported signatures and unfinished drafts are set on your phone. Nothing is sent anywhere for them, and the app doesn't use push notifications.
Subscriptions and purchases
Subscriptions are handled by the App Store or Google Play under their terms and privacy policies. We don't see your payment card details.
This website
This website is a set of static pages. We don't add cookies, analytics or advertising scripts to it, and its fonts are hosted on the site itself. It is hosted on Google Firebase Hosting, which, like most web hosts, may keep standard server logs such as your IP address and the pages requested.
Contacting us
If you email support, we'll receive your email address and what you tell us, and we'll use it to reply and improve the app. We handle personal information in line with the Privacy Act 1988 (Cth).
Deleting your information
We don't hold your SWMS data, so there's nothing for us to delete. Deleting the app removes its data from your phone, apart from the iPhone Keychain marker described above and any phone backups you've made. You can ask us to correct or delete anything you've sent us by email.
Changes
We may update this policy, for example if the app starts using a new service. The date at the top shows when it last changed.
